Step 1: Check Eligibility
- Postal applicants must live:
- In distant areas in NSW (Newcastle and northward, Lithgow and westward, Nowra and southward)
- Or anywhere in the NT
Step 2: Prepare Documents
- Prepare the necessary documents for your application.
- For postal applications, this includes a completed Pledge – Declaration of Intent.
- Remember to include your original passport.
Step 3: Submit Application
- Send all required documents to –

Step 4: Await Assessment
- The minimum assessment time is 5 business days for all visas (excluding Designated Activities visas, J-Find and J-Skip visas) but can take longer.
- If further information is required, you may be prompted to submit additional documents:
- Email additional documents to visaextradoc@sy.mofa.go.jp
- Include your name and application number in the email’s subject field.
Step5: Collect Passport/Visa
- The applicant, or a proxy representative, must collect their passport from the Consulate in Sydney during visa collection hours (14:00-16:30) and pay any associated fees.
- Cash only
- No booking required
- A valid photo ID must be shown
- Please check office closure dates
- Proxy representative must bring an authorisation letter and valid photo ID.
