Visa applications via post

Step 1: Check Eligibility

• Postal applicants must live:
  • In distant areas in NSW (Newcastle and northward, Lithgow and westward, Nowra and southward)
  • Or anywhere in the NT

Step 2: Prepare Documents

• Prepare the necessary documents for your application.
  • For postal applications, this includes a completed Pledge – Declaration of Intent.
  • Remember to include your original passport.

Step 3: Submit Application

• Send all required documents to –
• *Please use the Express Post or Registered Post with a tracking number

• Track your application in the mail and call us to confirm that it has been delivered.

Step 4: Await Assessment

• The minimum assessment time is 5 business days for all visas (excluding Designated Activities visas, J-Find and J-Skip visas) but can take longer.
• If further information is required, you may be prompted to submit additional documents:
  • Email additional documents to visaextradoc@sy.mofa.go.jp
  • Include your name and application number in the email’s subject field.

Step5: Collect Passport/Visa

• The applicant, or a proxy representative, must collect their passport from the Consulate in Sydney during visa collection hours (14:00-16:30) and pay any associated fees.
  • Cash only
  • No booking required
  • A valid photo ID must be shown
  • Please check office closure dates
  • Proxy representative must bring an authorisation letter and valid photo ID.
