General Check List of Required Documents

Before making a booking to schedule a visit our office or sending all the requierd documents by post (for those who reside in distant locations only), please check that you have completed all the documents and ensure you bring them to the Consulate on the date of your appointment or send them to us by post.

Incomplete require documents will not be processed and the applicant must make another appointment to visit again or must send the shortage by post.



Here is a final check list below.

Please check your corresponding items carefully.

Visa Application Check List

  • Who can apply? Who doesn’t need?





  • Passport

  • Valid until the trip to Japan and return is completed to Australia?

    Is your passport signed?

    Not damaged (torn out pages, water damaged, or unreadable ID page, etc )?

    At least 2 spread blank visa pages?

    * If it is damaged or there are no 2 spread blank pages, please renew your passport beforehand.





  • Australian Visa

  • Valid until the trip to Japan and return is completed to Australia?

    Printed VEVO information (https://www.border.gov.au/Busi/Visa ) ?

    The visa is linked to your current passport? If it is linked to the old passport, please bring it as well.

    If you are a Permanent Resident visa holder, is the Re-entry permit still valid until the trip to Japan and return is completed to Australia? If not, please renew it beforehand.

    If you hold a “Bridging visa A”, you need to change it to “Bridging visa B” beforehand.

    If you hold a tourist/visitor visa, we CANNOT accept your application. Please apply for a Japanese visa in your home country.



  • Application Form

  • Printed a visa application form (2 pages)?

    Checked the Visa Application" Writing Sample"?

    All the lines are filled without any left blank? (See sample writing)

    If no information is applicable for the question, please put N/A or No. (See sample writing)

    Your signature is the same as on your passport?

    Please do NOT staple the application forms together.



  • Passport Photo

  • Your photo is the right size ( 4.5cm x 3.5cm or 2in x 2in )?

    The photo is taken within the last 6 months?

    Had any cosmetic surgery? If so, please declare it.



  • Flight Booking Confirmation

  • Printed all the destination flights from Sydney to Japan and Japan to Sydney? If you apply for a double entry visa, please provide all the flights including the 2nd entry flight information.

    Showing your full name as a passenger?

    Full flight details from an accredited travel agent or airline?

    If you will not come back to Sydney, please provide a typed explanation letter.

    We do NOT require any payment of the flights as we cannot guarantee if your visa will be granted.

    If you wish to purchase any flight tickets, do so at your own responsibility.



  • Saving Bank Account

  • Must provide your "Saving Account" Statement or Transaction List.

    Your full name is shown as the account holder.

    Your current residential address is shown.

    If it shows your previous address, please update to the current one.

    Or please provide an official document showing your address and full name.

    Have sufficient funds

    Have most recent 3 months transaction records of the account

    If your current bank statement does not cover the most recent 3 months, please provide printed online transaction records besides the statement.


  • Other Bank Accounts

  • Other bank accounts such as Home loan are optional to submit. But if you have more money in other accounts, it is better to bring them.

    Please remember that the credit card account is not counted.

    Have most recent 3 months transaction records of the account

    Your full name is shown as the account holder.

    Your current residential address is shown.



  • Financial Information of Minor Applicants or Applicants Who Have Insufficient Funds

  • If you are minor with no bank account or do not have much money but someone can financially support you, you may provide the following.

    Your saving bank account (see the details above) if you have.

    Even if not much money is in the account, please show it to us.

    Saving and other bank accounts of your financial supporter such as Parent or Partner

    Letter from your financial supporter mentioning that they are willing to support you

    Please include your and her/his full name, the relationship and her/his signature.

    Official document showing the relationship such as Birth certificate and Marriage certificate.

    Passport photocopy of your supporter - ID, photo and signature pages



  • Student ID (if applicable)

  • Student ID/card is valid?

    Please bring the original ID/card and the photo copy (both sides).

    If you do not have a student ID/card, you may provide us with a confirmation letter from your school about your enrolment instead. But COE (Certificate of Enrolment) is not acceptable.



  • A visa for the next country that you will visit after Japan (if applicable)

  • Got a visa for the next country you will visit after Japan? *If you need a visa to visit a country after Japan, please obtain the visa first before applying for a Japanese visa.

    Have a document to prove that you have obtained a visa for the next country?



  • Before coming to the Consulate

  • Printed all the required documents and ready to submit?

    You must book online to schedule a visit to apply for a visa.

    Please print and bring the confirmation email of the online booking. There is a code in the email to input in the check-in kiosk when you enter our office.



  • Before sending documents to the Consulate (APPLICATION BY POST ONLY)

  • Are you a resident in North of Newcastle, West of Lithgow, South of Nowra in New South Wales (approximately 2 hours drive or 200km from Sydney CBD), or anywhere in the Northern Territory?
    Only the applicants living in these areas may apply by post.

    Read “THE VISA APPLICATION PROCESS BY POST" in Step 3?

    Printed and signed “PLEDGE-DECLARATION OF INTENT FOR THE VISA APPLICATION BY POST" in Step 3?

    Planning to enter Japan within 3 months?

    Have a self-addressed return envelop (must be Express Post or Registered Post envelop)?
