Book online to schedule a visit


All visa applicants must book their appointments online in advance to schedule
a suitable date and time to visit the Consulate to apply for a visa.

   Terms and Conditions   

  • Applicants are redirected to the third-party online booking agent website to make a booking.

  • Bookings can be made 1 day to 3 months in advance (You cannot book for a visit on the day.).

  • The appointment system allocates slots on a first come and first serve basis. Limited slots are available per time and there is no guarantee that a slot will always be available for an applicant's first choice.

  • You may check-in 10 minutes prior to your appointment time. If you arrive too early, you may still enter and wait in the waiting room without checking-in.
           * But when the time comes, please make sure to check-in and get a ticket.

  • If you are late 30 minutes, the booking will be canceled. A new booking will be required.

  • Applicants cannot make a duplicate appointment.

  • Applicants can re-schedule the appointments after cancellation.

  • If Applicants cannot visit in time of the appointment, applicants must cancel the booking online.If it cannot be done online, applicants must call us.

  • If the applicants do not show up on the appointment day/time without notice, it may affect to the next booking or be blocked from securing an appointment.

  • Family members or couples who live together can make 1 booking if you travel and apply together.

  • Before making a booking, please check that you have completed all the documents and ensure you bring them to the Consulate on the date of your appointment.

  • Incomplete require documents will not be processed and the applicant must make another appointment to visit again.

  • It is minimised to input personal information to book online on a third party website.

    Your privacy and personal information are important to the Consulate-General of Japan in Sydney and we are committed to handling your personal information in a responsible way. Here is our Privacy Policy. Please read all the sentences below carefully

  • Third party booking site
  • The Consulate-General of Japan in Sydney uses a third-party website and software to manage appointment bookings. Your personal information, including your name and contact details, will be collected by the Consulate via the third party website to book your appointment. By proceeding with this booking, you are consenting to the collection of this information by the third-party on behalf of the Consulate for booking purposes.

  • Purpose of use
  • The information acquired through this booking process will be used and stored for booking and visa processing purposes only

  • Information collection
  • All information submitted by the user while scheduling an appointment online may be stored, transferred and shared by Consulate staff with any of its affiliated agencies, partners and any law enforcement agencies as would be required under law.

  • Limitations on use and provision
  • Except in cases of legal disclosure requests, illegal access, threats and other unlawful act or other special reasons, the information acquired will not be used by the Consulate for any purposes other than booking or visa processing nor will it be provided to any third-party. However, statistical information regarding access to the website or generic information on users' attributes may be made public.

  • Measures to ensure security
  • The Consulate takes every necessary measure to manage acquired information appropriately, including through use of Secure Sockets Layer (SSL) protocols to prevent the leakage, loss or destruction of acquired information.

  • Disclosure of personal information
  • We will not respond to requests for the disclosure of personal information of booking system users, except in cases of legal disclosure requests.

  • Indemnity
  • The Consulate endeavors to secure the personal information collected through the booking website. However, no data protection or security measures are completely secure. Despite all the measures we have put in place, we cannot guarantee the security of your information, particularly in relation to transmissions over the internet. In no event will the Consulate-General of Japan in Sydney be liable for damages of any kind, including without limitation, direct or indirect, incidental or consequential damages (including, but not limited to, damages for lost profits, business interruption and loss of programs or information) arising out of the use of or inability to use the Consulate’s website or the online booking website, or any information provided on the website.





    Booking Procedure

    1. Tick the check box and click "PROCEED TO BOOKING" button
    After reading all the information including "Terms and Conditions" and "Privacy Policy" on this page, please tick the check box "I have read and agreed" and click "PROCEED TO BOOKING" button at the bottom of this page.
    You are redirect to the online booking site.

    2. Fill out the online form and submit

    3. Get the booking reference number from the booking confirmation prompt message or email
    When the appointment is successfully booked, the confirmation message is shown on the screen promptly and confirmation email is sent. There is "Booking Reference Number" (eg SYD03333333333333) there.
    Please keep and bring it when you come to our office as the number is required to input to check in.

    Cancellation or Change the date/time of the confirmed booking

    If you would like to change the date/time or cancell the confirmed booking, please cancel the existing booking by clicking “clicking here” link in the booking confirmation email first, then the system will allow you to make a new booking.


    If you cannot find the confirmation email, please contact us on 02-9250-1000 (press2).



    4. Come and lodge the application on the appointed day and time
    Before coming to the Consulate, please ensure to check the following.

    * Double check the required documents

    * Make sure that the required documents such as saving transaction records are up-dated when you submit them

    * Print all the required documents and be ready to submit

    * Do NOT staple any document together. Please use paper clips instead of a stapler.

    * Bring the booking confirmation email of the online booking. There is a reference code in the email to input in the check-in kiosk machine when you enter our office.
